Let's start with a little story from a conversation I had handing over a project this week with an IT Managed Services Company.

IT Company: So Daniel, how is Copilot going for you?

Me: "Amazingly well thanks, are you using it?"

IT Company: "We are but we are having problems with it, it keeps coming back with content from documents and things that the users should not see. So we have rolled it back"

Me: "Wait what?, you do understand this is not Copilot's fault. If users have access to content, then Copilot will honor that, if they don't then it won't".

This is such a common conversation and dialog I have.

It is really important that before you roll Copilot out you must ensure your data estate is in order.

Let me give you and inside look at a process that I go through when working with clients for Copilot Readiness (I will have a video on this soon).

Copilot does not operate without SharePoint. Inside a Copilot Readiness Assessment.

Step 1: Create and license a test account

Step 2: Write down as many search queries you can think of that will show sensitive information if a user has access to it.

Step 3: Log in as that test account and goto the Microsoft 365 Search Box (the one in the Suite Bar)

Step 4: Start working your way through the search queries.

Step 5: Observe what gets returned.

Step 6: Go fix any access issues and lock them down

Trust me, you will be amazed at the content that gets returned.

What's new from the past 7 Days?

SharePoint site content & policy comparison using AI

Secure sites by identifying sites with "similar files" and identifying different policies and settings. Admin now choose a site and compare the contents with ALL other sites. The report provides a percentage on how similar the contents of the sites are and then compares the settings. This helps admin to identify and administer same/similar settings and policies to similar sites all using the power of AI.

Enterprise Application Insights for SharePoint sites

Enterprise Application Insights is a powerful report which helps SharePoint Administrators to discover all the SharePoint sites that are allowed access by third-party applications registered in your tenant. The report also provides details on the application's permission and requests count to help admins take further action to strengthen the security of the site. It is part of SharePoint Advanced Management capabilities.

Microsoft SharePoint and Microsoft Teams: Update on new Microsoft Lists rollout

Coming soon to Microsoft SharePoint and Lists in Microsoft Teams: An updated Microsoft Lists. This rollout introduces new features to users, including the ability to add ratings to any list, drag and/or paste images directly into a list, see who is collaborating with you in real time, switch views by clicking tabs, and more.

When? Rolling out late September 2024 and expect to complete by late October 2024.

(Updated) Microsoft SharePoint: Collaborate on SharePoint Pages and News with coauthoring

Coming soon to Microsoft SharePoint: The ability for multiple authors to edit the same Page at the same time, without having to take turns. Authors can see real-time changes made by others as they happen in Pages, sections and web parts.

Updated Timeline: Targeted Release: will begin rolling out late June 2024 and expect to complete by late July 2024. General Availability (Worldwide): will begin rolling out early August 2024 and expect to complete by late October 2024 (previously late September).

(Updated) Microsoft SharePoint: Introducing custom fonts

With the new SharePoint Brand center, you will have the ability to use custom fonts to express your organization’s brand and creative expression on your sites and pages. Once the SharePoint Brand center has been enabled in your organization, you can use custom fonts within SharePoint and Viva Connections.

Public Preview: Available now. We began rolling out in early April 2024 and completed late June 2024.

Targeted Release: We will begin rolling out early September 2024 and expect to complete by mid-September 2024.

General Availability (Worldwide): We will begin rolling out late September 2024 (previously mid-September) and expect to complete by mid-October 2024.

(Updated) Microsoft SharePoint: Add approvals to any SharePoint list

(Updated) SharePoint: New List Templates with Approvals (March 2023), are expanding Approvals in lists in Microsoft SharePoint Online.

With this rollout, Approvals will soon be available in any list. Today, two list templates allow for approvals integration: content scheduler with approvals and travel requests with approvals. With this rollout, it's expanding the ability to enable or disable approvals on any list.

When this will happen:

Targeted Release: Will begin rolling out mid-May 2024 (previously mid-April) and expect to complete by late May 2024 (previously early May).

General Availability (Worldwide, GCC): Begin rolling out mid-July 2024 (previously late May) and expect to complete by mid-September 2024 (previously mid-August).

(Updated) Microsoft SharePoint Online: New Banner web part (updated title area) in Pages and News

Improvements to the title area at the top of Pages and News:

  • Users will be able to remove the title area, which is no longer mandatory on a page.
  • The title area will be rebranded as a Banner web part with new layouts. Users can add one or more banner(s) to any column of a page, including a full-width section.

When this will happen:

Targeted Release: Begin rolling out late June 2024 (previously mid-June) and expect to complete by early July 2024 (previously early June).

General Availability (Worldwide, GCC, GCC High and DoD): Begin rolling out early July 2024 (previously mid-June) and expect to complete by late August 2024 (previously late July).
